Privacy Policy

This policy explains what information Quote Sheet Studio ("we", "us") collects when insurance agencies use Quote Sheet Studio (the "Service") or when we contact businesses about it, how we use that information, and the choices you have. Quote Sheet Studio is a business tool. It is not meant for consumers or for anyone under 18.

Information we collect

• Account information: name, work email and role of each user, and an encrypted password.
• Agency settings: agency name and address, phone, website, logo, brand color, state license numbers, and the names, emails and signature images of signers you add.
• Quote documents: when you upload a carrier quote, your browser pulls the text out of the PDF and sends it to our server over an encrypted connection so it can be read. This can include the insured's business name, address, DOT and MC numbers, vehicles, and driver names and license numbers. We use it only to fill in your document and do not store it. The finished PDF is created in your browser.
• Billing information: payments are handled by Paddle, our Merchant of Record. Paddle collects your card and billing details. We receive only your plan, subscription status and limited billing contact details. We never see full card numbers.
• Technical information: basic logs our providers keep for security and reliability, such as IP address, browser type and the time of requests.
• Business contact information for outreach: we may collect business contact details that agencies publish on their own websites or in public business listings (such as agency name, website, business email and phone) to contact them about the Service. See "Business outreach" below.

How we use information

• to provide the Service: sign-in, your agency's branding, reading quotes and producing documents;
• to run your subscription and free trial, and send service emails such as welcome messages, receipts, trial reminders and password resets;
• to keep the Service secure, prevent abuse and fix problems;
• to improve the Service, for example adding support for new carriers using sample quotes we have permission to use;
• to contact businesses that may benefit from the Service, as described below.

We do not sell personal information, and we do not use your agency's or your clients' information for advertising.

Business outreach

We may email insurance agencies at business addresses they publish, to introduce the Service. These emails follow the US CAN-SPAM Act: each one identifies us, includes our postal address and has a one-click unsubscribe link, and we honor unsubscribes within 10 business days. If you unsubscribe or ask us to stop, we stop emailing you and keep only the minimum needed to make sure you are not contacted again. To ask us to delete your business contact details, email support@quotesheetstudio.com.

Who we share information with

We use trusted service providers who process information for us under contract and only for the purposes above:

• Supabase: database, sign-in and server functions;
• Vercel and Cloudflare: website hosting and security;
• Paddle: payments, invoicing and sales tax, as Merchant of Record;
• Resend and our email provider: sending service and outreach emails;
• Anthropic: drafting outreach emails from public business information (never your agency's or your clients' data);
• Google: finding public business listings for outreach, and web fonts;
• Public code libraries (jsDelivr, cdnjs, unpkg): delivering parts of the app's code to your browser, which means they receive your IP address.

We may also disclose information if required by law, to protect our rights or users' safety, or as part of a sale or merger of our business, in which case this policy will continue to apply.

Where information is stored

Our providers store and process information mainly in the United States.

How long we keep it

• Account and agency information: while your subscription is active, and deleted within 90 days after your account ends.
• Quote documents: not stored after they are read.
• Billing records: as long as tax and accounting laws require (kept by Paddle and by us).
• Outreach contacts: until you unsubscribe or ask us to delete them, and in any case no longer than 2 years without a reply.

Cookies and browser storage

The app stores your sign-in session and a few preferences (such as dark mode and the selected agency) in your browser. We do not use advertising or tracking cookies.

Security

Information is encrypted in transit. Each agency can only see its own users and settings, enforced on our server. Passwords are stored encrypted by our sign-in provider. No system is perfectly secure, so please use a strong, unique password and tell us right away about any suspected misuse. If a security incident affects your personal information, we will notify you and the authorities as required by applicable US state and federal law.

Your choices and rights

Your agency's admins can view and change your agency's settings and users at any time. You can ask us to access, correct, export or delete your personal information by emailing support@quotesheetstudio.com. We will not treat you differently for using these rights.

Notice to US state residents

Residents of California and other US states with privacy laws (such as Colorado, Connecticut, Virginia, Utah and Texas) have the rights below. In the last 12 months we have collected these categories of personal information, from you, your agency, your browser and public business sources, for the purposes described in "How we use information":

• Identifiers: name, email, IP address;
• Professional information: agency, role, license numbers and signature images;
• Commercial information: plan and subscription history;
• Internet activity: technical logs about how the Service is used.

We do not sell personal information or share it for cross-context behavioral advertising, and we have not done so in the last 12 months. We do not use sensitive personal information except as needed to provide the Service. Because we do not sell or share personal information, we treat Global Privacy Control signals as a request not to, and no further action is needed.

You may ask us to tell you what personal information we hold about you, to correct it, to delete it, or to receive a copy. Email support@quotesheetstudio.com. We will confirm we received your request within 10 days and respond within 45 days. We will verify your identity by matching the email on your account. You may use an authorized agent, who must show your written permission. If we deny your request, you may appeal by replying to our decision, and we will answer within the time the law requires.

Children

The Service is for businesses and is not directed to children under 13. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

If your agency uses the Service to process information about its own clients, your agency decides how that information is used, and clients should contact the agency directly.

Changes to this policy

We will post any changes here and update the date above. If a change is significant we will email your agency's admins before it takes effect.
